RRC - Board Meeting Minutes
April 2, 2008

Other Business: On behalf of the entire club, the Board thanks Scott 
Stroney for the donation to RCC of 8 sweep oars purchased from the 
UVA Men's Team.  Thank you very much, Scott! 

Financial Report - Stacie
Cash balance on hand $20, 230.14.  Invoices for RRC Membership dues 
($170) will be sent out to rack renters when necessary forms are 
available on the website.

Programs - Mary
	The hard work of the Program committee in getting the summer 
'08 programs organized was applauded.   Mary presented a draft 
summary of the Racing Program and Advanced Sweep Program for the 
website and to be distributed at the Spring Members Meeting on April 
20th. 
	The following coaches have been hired:  Bryce for AM Advanced 
Sweep; Will for Racing and for PM Advanced Sweep; Mike Hankinson (2nd 
year UVA rower) for LTR; Tim Murphy (UVA 4th year) to coach novices; 
Keith for LTS.  One additional individual (UVA rower) is available as 
a substitute coach. 
	Recruiting for coxswains is ongoing.  Amelia will be the 
coxswain coordinator. 

Discussion of Junior's Sweep program - Jack
	Developing a Junior's Sweep program was discussed.  There is 
positive sentiment by the Board to consider such a program, but some 
reservations expressed about our ability to organize such a program 
this summer.  The idea should be discussed more broadly with the 
membership to see if a group exists that might like to spearhead such 
a program.  The program would need an immediate marketing effort (for 
which some tools are in place in various schools), a dynamic coach 
who could work well with high school students (perhaps coupled with 
mentoring by an experienced coach), and a Board member or interested 
parent to oversee the program.  It was suggested that one of the LTR 
sessions be devoted to juniors this summer as a trial, but that would 
depend on the population of all LTRowers enrolling this summer.  We 
might be able to get some of the younger LTRowers excited about 
having their own session.

Communications/Marketing Report - Scott
	Marketing efforts are in full swing. A press release was 
prepared for Cville to see if they will bite for a feature article. 
Several types of print media are designed and ordered:  ads Blue 
Ridge Outdoors; row stickers for cars will be distributed to all 
rowers; T-shirts for the LTR program; banner for use at Friday's 
after Five and RRC events; flyers for distribution and posting by 
members and for website.  We are set with permitting for setting up a 
scull on the Mall for Friday's after Five (April 18th, 25th, May 2nd 
and May 9th).  We will be recruiting for help in staffing these 
events; the return in exposure and recruiting new rowers is well 
worth the effort of getting a boat down there.  Website must be 
updated before posting and marketing events begin.

Boathouse Captain Report - Jack
	The outside rack/combination storage option has garnered 
interest from ~4 boat owners; the outside rack will be available by 
late May.  The RRC 8+s will be inside the boathouse at that time and 
singles will move outside for the summer. The 8+ racks will be 
modified to store the "outside" singles from late august to late May 
of next year.
	Volunteers are needed for LTR day (May 10th, 11 AM-1PM and 
1PM-3PM); email recruiting will be sent to all members.  A Boathouse 
cleanup day is scheduled for 8 AM-10 AM, Saturday, May 10th  (the 
morning of the LTR day).  A major task will be to get boats ready for 
season.  Joe will organize the clean up effort.

	Jack encouraged all club members (especially the Board) to 
introduce themselves to new-comers at the boathouse.  We also need a 
mechanism to survey that equipment use fees are paid by members using 
club equipment outside of sponsored programs.
	A service was hired for cleaning the bathrooms; towel and TP 
dispensers have been donated (thanks to Joe).

Equipment Report - Joe
New Peinert 1X delivery is expected early May. Joe will transport the 
boat from Richmond.  Joe has been researching sources for used boats 
for possible future purchase by the club, once we determine the 
specific plans for the next additions to the RRC fleet.

Web Site - Mike
Website is updated for 2008. The necessary membership form, waiver, 
equipment use fee form and program descriptions will be installed on 
the website before marketing efforts begin. Strategies and costs for 
updating the website were discussed. Given our current budget for 
website activities, we are doing a credible job.   Mike has improved 
its timeliness and gotten it up-to-date.  The current website is 
useful for members looking for information but is a bit clunky to 
maneuver.  We should re-vamp sections targeted to recruiting new club 
members. Costs for new design from an outside design firm could be 
high.  Mike could train interested members to assist with updates. 
The Board affirmed the need to evaluate the website and plan for 
improving it over the next year.

Spring Members Meeting - Sunday - April 20th , 4:00 PM at the 
Boathouse.  The upcoming summer programs will be presented, coaches 
introduced and financial report presented.

May 2008 Board Meeting Date:  Wednesday, May 7th 6:30 at the Boathouse.
