RRC - Board Meeting Minutes - Final
August 6, 2008

Financial Report - Merrick
	In spite of slightly lower memberships and enrollments in RRC 
Summer programs this year, coupled with higher expenses for some 
budgeted items (rent, gas), the Club expects to achieve a balanced 
operating budget for 2008.  Outstanding expenses due before December 
total ~$6000.  Nonetheless, it will be important to recruit more 
members next year in order to maintain the programs we have built and 
are building.
	The racing program regatta expenses were higher than planned, 
so adjustments for handling these costs will be needed next year. One 
recommendation was to estimate racing costs/race.  This will be 
discussed further as next year's program fees are set. 

Program updates - Gary
	Coxing:   The perennial end-of-season deficit of coxswains 
has hit; we are recruiting any skilled cox'ns we can find to fill in 
until the end of the season. Some of the UVA men's team members may 
be interested in coxing.  Alana is now the coxing coordinator.

Boathouse Captain Report  - David Z.
  	There was general agreement among the Board that RRC should 
maintain a list of individuals that possess keys to the boathouse. 
Possible mechanisms for establishing the list were discussed.
	A reminder to all rowers: Please return the buckets back to 
their appropriate places on the dock. 
	Processes for assuring that new scullers (who have passed the 
Captain's test) have signed liability waivers and paid the membership 
fee were discussed.  The need for good communication between 
boathouse captain and Board members tracking memberships and waivers 
was emphasized. 

Equipment Report - Joe
  	Joe is planning to retro-fit the racks currently storing the 
8s for usea as winter storage for sculls.  Boat cleaning session 
scheduled for Saturday (8/9/08).  A good inventory of supplies and 
spare tools required for most types of boat repairs is in the 
boathouse. David Z. wonders where are the tools that he purchased 
some time ago?
Joe and James are considering rigging the Passing Wind as a pair.

Web Site - Mike
	All is up-to-date on the website.

Board Member Replacements
  	Three open Board seats need to be filled (Jack, Merrick and 
Mary - Thanks for your conscientious and consistent service!)  In 
addition, the President must be elected every year, so nominations 
are requested for that position, too.  Notices were sent to the 
listserve requesting interested parties to contact the Nominating 
committee chaired by Mike Hatz.  Several individuals have expressed 
an interest in joining the Board.  We are looking for individuals who 
would complement the existing balance on the Board of sweep, 
sculling, advanced and novice rowers. It was suggested we strive to 
elect the new Board earlier than in past years (at the end of the 
summer season) in order to have more members involved in the voting. 
We will try to do this by mid-September this year (tied to Wye Island 
Regatta?) and work toward an earlier election date next year.

	Be there or be square!  Sunday, August 10th, 5:00 PM.
