RRC - Board Meeting Minutes
March 5th, 2008
Sweep Program - Mary
Sweep programs for 2008 will include 3 sections: 1) Racing
(AM only); 2) Advanced Sweep (AM & PM) Novice (initially only AM
session; possible addition of PM session after July 1). Sweep
programs will be run exactly as last year's programs, with the
addition of the new Racing program. Program fees will be the same as
last year and will be posted on the website.
Details of Racing program. The Racing program will focus on training
for racing. The program is limited to 12 rowers this first year and
will meet MWF AM with Saturday racing in conjunction with other sweep
groups. Training will include use of sculling and sweep boats.
Program will require each racer to participate in a minimum of 3
regattas (exact schedule TBD). Motion passed: Racing Program fee
will be $430 (+ $170 membership fee). The fee covers the cost of
coaching/coxswain staff and additional costs associated with
competing in three regattas. Addendum to motion: Additional regatta
fees may be levied if costs exceed budget estimates.
Details of Advanced Sweep program. Program will be run exactly as
last year, meeting MWF (AM); MTTH (PM) and jointly on Sat AM with
Racing Program. Advanced Sweep rowers will be encouraged to
participate in regattas. Motion passed: Advanced Sweep Program fee
will be $290 (+ $170 membership fee).
Details of Novice program: Novice Sweep will run as last year,
meeting Tu/Th/Sat AM only during May and June; addition of a PM
session in July/August will be considered if LTR graduates have
interest. Program fee for novice rowers starting in May/June will be
$220 + $170 membership fee. Pro-rated membership fee and Novice
Sweep program fee will apply to LTR graduates joining the Novice
Sweep program mid-season (website will give details).
Details of LTR program: Learn-to-Row program will be exactly as last
year. Two 4-week sessions are planned (June/July). Program fee will
be $220.
LTS program. Details of Learn-to-Scull program to be determined.
Other program issues. Interviewing of coaches will begin as soon as
a few candidates are identified. Mary M., Joe V. and Suzan P. will
participate in interview process. Mary and Merrick will contact
previous coaches to determine interest. Jack and Gary have been in
contact with UVA rowers interested in coaching and coxing this
summer. Candidates interested in coaching a Junior Sweep Program have
not yet been identified.
Financial Report. (Stacie)
A draft budget was presented; a revised budget based on
discussions will be distributed to Board members by email. In
general, operating expenses have remained stable at ~$20,000/year.
Motion passed: The RRC membership fee will increase to $170/year to
cover the increased costs of rent to VRA and for bathroom
maintenance/supplies. RRC currently has $21,974 in cash on hand.
Down payment paid on Peinert 25 1X ($500).
Marketing Report (Scott)
Marketing committee is working on several projects: 1.
Developing local advertising for 2008 programs; 2) T-shirt design
(Kate) using graphic from Sunset Regatta; 3) Banner design; 4)
Sticker design.
Boathouse Captain Report (Jack)
A new lease from VRA will be signed soon; rent increases $500
to $8500/yr. Regarding trash removal, RRC can deposit one bag of
trash/week to be picked up by UVA; recycling will continue with #1
and #2 plastic and Aluminum only (no glass) in appropriate container.
RRC is also responsible for bathroom maintenance. An outdoor rack
for part-year scull storage will be installed by VRA. It was
suggested that we schedule a boathouse cleaning day for early May.
Equipment Report (Joe)
New Peinert 1X will be delivered in April. A Speed Coach was
purchased and will be installed in the Wintech 2X. Four Macon oars
were sold ($100). Kevin suggested RRC consider donating remaining
oars (if a full set) to a rowing club in need. Suggestions from
membership about general condition of equipment indicated the need
for repairs to Helen T, which are forthcoming.
Website (Mike)
Website updates, including 2008 membership and program forms
is in progress. We should be able to set up calendar and picture
gallery features on existing website host. It was suggested that RRC
consider revamping the website to improve its effectiveness as a
marketing tool. Complex nature of the current system used for web
design and server access limit our flexibility to update the website,
so we may need to consider engaging a web design professional. It
was stressed that we need to have the website up-to-date when
marketing efforts begin in early April.
Other items
Kevin Sauer has requested help from RRC in housing members of
the US National Rowing team that will be training in Charlottesville
from June 15th through July 8th. Team members are responsible 19-22
year-olds; hosts provide accommodations with possible kitchen access.

Next RRC Board meeting: April 9th at 6:30 PM at Gary Sloan's.
Spring Members meeting: April 20th at 4:00 PM at the Boathouse.
